New technology sparks long-term relationship

About Wisconsin Bankers Association

The Wisconsin Bankers Association is a community of bankers dedicated solely to supporting and enhancing the banking industry in Wisconsin. Founded in 1892, its mission is to promote a healthy environment for banks in Wisconsin through actively advocating, educating, and supporting its members. The Association represents more than 200 commercial banks and savings institutions and over 21,000 employees. This includes banks of all sizes from banks in rural Wisconsin to the state’s largest financial institution in Green Bay, and nearly 98 percent of banks in the state are WBA members. WBA is a resource and advocate for Wisconsin’s banking industry. Through a wide variety of initiatives and resources, the association helps its members get connected, get ahead, get involved, and get informed.

THE GOAL

The Wisconsin Bankers Association needed a technology overhaul, one that could adapt over time and continually improve, and through this build the foundation of community throughout the organization. WBA had physical files that needed to be filed digitally and needed a better way to connect to members through the COVID-19 pandemic. It was also identified that there could be better utilization of their printing technology and software.

CHALLENGES

Non-Technical Relationship

Their previous vendor-relationship was complex and non-technical. The business model was focused on contracts, leases, and how to manage those elements and not as much about technology and how to better utilize it.

Virtual Connections

Right before COVID-19, WBA started a renovation of their office to improve their meeting and event spaces. Since those spaces were unable to be fully utilized in-person, maintaining that sense of community was a key area of focus for WBA and will continue to grow, whether events are in-person or virtual.

Large Amounts of Paper Documents

Scan to email became a critical function of the business. WBA used to have file cabinets stuffed full of old documents, and with reliable scanning they were able to convert to digital format, that were OCR searchable. This eliminated the need to outsource and gave the ability to do it in-house affordably and quickly.

Workflow Analysis

Workflow Analysis requires the examination of administrative processes to identify who’s involved, what role they play in the process, why they’re involved & where this information goes. Once the who, what, why & where are identified, the goal is to improve workflow & thus reduce expense by minimizing manpower involvement. This can only be accomplished with a fierce commitment to organizational improvement & this is the only way we can close the consumption gap between the technology we own & how well it’s utilized.

IMPLEMENTATION

SHARP INTERACTIVE WHITEBOARDS

Sharp Interactive Whiteboards (IWB) brought a cultural change to the organization that allowed them to bring people together. All the IWBs were integrated into the network, so they had access to anything they needed, cloud or local. Meeting efficiency was greatly improved through collaboration, inclusiveness, and accountability. In a blended environment this has continued to work well for them.

ENHANCED TECHNOLOGY & UPGRADES

The Sharp MFPs continually get better and better. Every time WBA has gone through an upgrade, they’ve experienced cost savings and better output. One of the main benefits of the Sharp brand was they innovated faster than the previous manufacturer.

PAPERCUT ROLLOUT

PaperCut has been a huge benefit for ease of management and onboarding staff simply. PaperCut enables multiple Sharp MFPs to all be controlled centrally on one piece of software. Like Sharp, the continuous development from PaperCut has been another major benefit – instead of coming out with new versions to patch fixes, they do it to add features and enhance the overall product. For WBA staff, the efficiencies gained from workflow has been a game changer. One simple change was having the ability to retrieve secured documents when desired. The Sharp MFPs have been HP Printer killers because of this reason. The building access fobs were set up with the devices, so each employee has their own secured access to physical assets.

Through confidence and comfortability with the technology Rhyme sells, WBA was able to connect to various resources and individuals at Rhyme from whiteboard training to printer software implementation. The focus has always been on the solution and the people who empower WBA to use those solutions. This has resulted in a long-standing 17-year relationship with each other. Rhyme has longevity with WBA staff, so they're familiar with who they can reach out to.
